Getting started
- Create your account on the sign-up page, with your email and a password of at least 10 characters (a 6-digit code is sent to confirm the address), or with your Google account.
- Describe your restaurant: company name, restaurant name, phone number and the address of your booking page. The 14-day trial starts at that moment, with no card.
- Set up your services in Settings › Services and quotas. For each day of the week, a service has a start, an end, a last bookable time slot, an interval between time slots and a number of covers per time slot. A cap for the whole service is optional.
- Make a test booking from your booking page with your own email: check the confirmation you receive and the alert sent to the restaurant, then cancel with the link in the email. The Settings › Switch-over checklist covers these steps.
To save time across several days, set up a typical day, then save it as a template in Settings › Templates to apply it to other days.
The planner, day to day
- Opens on the current time: today, the planner opens centred on the current time slot (the current service, if there are several). Confirmation messages (booking seated, reminder sent…) appear at the bottom of the screen and disappear after 5 seconds, or with a tap.
- Add a booking (phone, walk-up at the counter): the “+” button on a time slot, in the planner. The guest record is found by email, then by phone. You can choose the language in which the guest receives their emails.
- Check in: “Arrived” is available from the day of the booking, “No-show” only once the time has passed. Cancelling asks for confirmation.
- Group requests: above the number of covers you set in Settings › Bookings, the guest sends a request instead of booking. You accept it on the time slot of your choice (with the option of going over the quota) or decline it with an optional reason passed on to the guest.
- Reconfirm: on an expected booking, the button sends a “please confirm you are coming” email. If you have turned on text messages in Settings › Bookings, the same message also goes by text to the guest's mobile, billed at €0.08 excl. VAT. Once sent, the button turns grey and shows the time. A second send asks for confirmation. “Reconfirm the service” does the same for the whole service, without repeating guests already contacted.
- Closures (holidays, public holidays, a specific service) and special openings (New Year's Eve, private event): Settings › Closures and openings.
Capacity, floor plan and tables
Resatop offers two ways to limit bookings, chosen by each restaurant. In both cases, the quota per time slot and the service cap stay active: they count arrivals, not guests still at the table.
Meal duration, per service
In Settings › Services and quotas, each service's form (“Edit”) has a “Meal duration” field in minutes, for example 60 at lunch and 90 at dinner; it applies to every service with the same name, every day. Your guest sees it when choosing a time (“Your table is reserved for 1h30”). It is also used to calculate the space taken, with dining room capacity or with tables. Left empty, nothing is shown to the guest and the default duration (90 minutes, adjustable in Floor plan) is only used to calculate availability.
Limit how many covers are seated at once
This is the simplest setting, with no floor plan: Settings › Bookings › Dining room capacity. You tick “Limit covers seated at once” and enter the maximum number of covers at table; a meal lasts the duration set on the service.
- A time slot is only offered if there is room for the whole meal. With a maximum of 20 covers and 20 guests arrived at 20:00, the 20:15 slot is full; it opens again at 21:30, when they have finished.
- On each time slot, the planner shows “seated”: the covers present at the busiest point of the meal.
- A guest marked “No-show” frees their place immediately. A guest who stays longer than planned is not tracked: the floor team adapts.
- For a different duration depending on party size, use the rules in Settings › Floor plan › Table times.
Drawing your floor plan and placing bookings on tables
In Settings › Floor plan (owner and manager):
- Create a room, and another one for the terrace if you have one (tick “This is a terrace”). A room that has already been used is deactivated instead of deleted.
- Add tables with the “2 covers”, “4 covers”, “Round for 4”… buttons, then drag them into place, with a finger, the mouse or the keyboard arrows. A table cannot overlap another one. Select a table to set its name, capacity, shape and size.
- Set up each table: capacity is a guide, the team can always seat more people. “Minimum covers” stops a large table going to a couple online. Untick “Open to online booking” to keep a table for the team. Tick “Can be combined” so that two or three tables side by side can host a group.
- Set table times: the duration of each service in Settings › Services and quotas, the default duration and special cases (by party size) in Floor plan.
- Turn on table mode (owner) in “Booking mode”, at the top of the same page. Bookings already taken do not move; the “Assign to tables” button places them. You can return to quota mode at any time: the plan is kept.
Day to day, in table mode
- List or plan: the planner offers two views. On the plan, the row of times stays pinned under the day bar as you scroll, and opens on the current time. Choose a time: each table shows who is at it at that moment (first name, last name, estimated end of the meal, covers). The border and background give the status, with a legend above the plan: black border = expected, green border = reconfirmed, green background = arrived, red = no-show.
- Move a booking: with the mouse, drag it onto another table. On a tablet, a swipe scrolls the page; to pick up a booking, hold your finger for a split second (a short vibration confirms it), then drag. If the table is already taken, the planner asks for confirmation. A simple tap on a booked table opens its record: “View details and check in”, “Add or remove tables” (to link several tables side by side, for example for a group) and “Remove from the table (to seat)”.
- Tapping a free table offers three actions: “New booking”, “Walk-in” (the table is occupied, with no guest record or statistics) and “Block the table” (maintenance, private table), with an end time.
- To seat: a booking without a table (for example entered when everything was taken) appears above the plan, under the times. Drag it onto a table (long press on a tablet), or tap it, then “Add or remove tables” and tap the table.
- Check-in: a guest marked “No-show” frees their table immediately; if you correct the check-in, the booking takes a table again.
Online booking in table mode
The booking page only offers a time slot if there is a free table, or several combinable tables side by side, for the whole meal. The guest automatically gets the smallest table that fits, among those open to online booking. They never see a table number. If your restaurant has dining room and terrace tables open online, the guest can state a preference (“Indoors”, “On the terrace” or “No preference”): it is a preference, not a commitment, and you can move the booking at any time, for example if it rains.
Booking page and widget
Each restaurant has its booking page, in French, English and German: it opens in the language of the guest's browser, and the guest can change it at the bottom of the page. In Settings › Booking page you set the logo (PNG, JPEG or WebP, 2 MB at most), the formatted welcome message, the page's default language and the language of the emails sent to your team.
- Direct link: the address of the booking page, to place wherever you want. Google (business profile): the address of your Google profile, to paste in the same screen.
- Widget: a code to copy and paste into a page of your website. Bookings from the widget count as “website”.
- Change the page address: possible at any time. Remember to update your links and the widget code.
- Close online booking during service: an option in Settings › Bookings.
- Card guarantee: in Settings › Bookings, from a party size and an amount per guest. The online booking then asks for a card authorisation (Stripe), which is not a charge. It is released if the guest comes or cancels, and charged when you mark a no-show. Stripe only keeps the authorisation for seven days: a booking with a card guarantee can therefore be made up to 5 days ahead, and if the authorisation has expired when you mark a no-show, the planner shows “Card guarantee expired, not charged” (nothing is charged). Entries by the team do not ask for one.
- The guest manages their booking: the end-of-booking screen offers to add the booking to Google Calendar (or, more discreetly, as an .ics file for Apple or Outlook), open directions, call you, change (day, time or number of guests) or cancel, without going through their inbox. The same buttons are in their emails (the .ics file is attached to the confirmation email) and in the link of the reminder text message. A change follows the rules of a new booking (free time slot, quotas, tables) without counting the booking itself; you receive an email with the old and new time slots, and the planner is up to date. The time limit is set in Settings › Bookings, “Guest changes allowed until”: 2 h before the meal by default, 0 for up to the booking time. Beyond that, the page asks the guest to call you. With a card guarantee, only the day and time can change (the new date is no more than 5 days after the card guarantee was placed); for the number of guests, the guest calls you. A reconfirmed booking goes back to “Confirmed” if its day or time changes.
- Emails to guests: confirmation, change, cancellation by link, reminder, and a Google review request after the meal if you turn it on in Settings › Bookings. Each guest receives their emails and text messages in the language they booked in. You receive an alert at the address you entered for each online booking and each group request. In the same screen, “Also send a text message with reminders” adds the text message to the planner's Reconfirm button (French mobile), within the monthly cap. It is a paid option, on top of the subscription: €0.08 excl. VAT per message, only for those the carrier accepts, added to your subscription invoice. It requires a subscription (SIREN, address and card, even during the trial: the first payment still happens at the end of the trial). The guest does not have to choose it: they give their mobile number when booking.
Team and roles
The owner invites people from the Team tab: Resatop creates a single-use link, valid for 7 days, which you pass on to the person (text message, email…). They create their account, or sign in, then join the team. Everyone chooses the language of their interface in Account.
- Owner: everything, including the team, the subscription and exports.
- Manager: the planner, guests, statistics and the restaurant settings.
- Floor staff: the planner.
Guests and data
- Guest list: one record per guest, with internal notes and a history of visits and no-shows, searchable by name, email or phone.
- Statistics: covers by day, by service and by source, with estimated revenue based on the average spend you enter for each service.
- Export your data: Settings › Data, as CSV files you can open in a spreadsheet (and as a ZIP). Export stays available even if access is suspended.
- When a guest asks for their data: from their booking link (“Your data” section), they can withdraw their consent to news and offers, ask for a copy of their record or ask for it to be deleted. You are the data controller: the law requires you to reply within one month. The request arrives by email and appears at the top of Guests with its deadline. For a copy, Export the record downloads a file to check and then send to the person. For a deletion, Anonymise the record erases the name, contact details, notes and messages; the bookings still count in your statistics, without any identity. It is refused while a booking or group request is upcoming: cancel it first. Both buttons are also on the guest record, for guests who write or call instead of using their link.

Subscription
€49 excl. VAT a month for the first restaurant, €39 excl. VAT for each additional restaurant, with no commission per cover. The trial lasts 14 days, with no card.
- Subscribe, add a restaurant: Settings › Subscription (owner).
- Payment method, invoices, cancellation: the “Manage my subscription” button opens the Stripe payment portal. Cancellation takes effect at the end of the paid period.
- No subscription at the end of the trial: the planner and the booking page are suspended, and your data is kept for 60 days. Subscription and export stay available during the suspension.
Account
From My account you change what concerns you, not the restaurant. On a restaurant, your address at the top of the screen opens this menu; on the list of restaurants, the links are already shown. The same menu takes you back to My restaurants. “Manage my account” stays available if access is suspended.
- Language: the language of your interface and of your account emails (French, English or German). The owner's language is also used for trial emails and the Stripe payment page.
- Name and email: your name is visible to your team. Changing the email sends a code to the new address. If there is a password, it is asked for in addition to the code.
- Password: the old one is asked for, and other sessions are closed. An account created with Google has none at first: “Set a password” adds one, and Google sign-in still works.
- Sessions: the date each sign-in was opened, and the option to close one.
- Company name, billing email, SIREN and VAT number: reserved for the owner. The VAT number is optional (leave it empty if your company is not VAT-registered) and includes the SIREN; it appears on your invoices. The restaurant's name, phone number and address stay in Settings › Bookings.
- Delete the account: a member only removes their own access (bookings stay, without their name). The owner deletes the whole organisation, after exporting or choosing not to, and only once the subscription has ended. The team is notified.
If something goes wrong
The “Connection lost” banner appears
The screen keeps the last state received. As long as the page stays open, your changes are sent by themselves when the network comes back. Keep the page open: reloading it during the outage would lose what has not been sent yet.
I forgot my password
On the sign-in page, click “Forgot your password?”, enter your account email, then the 6-digit code you receive (valid for 15 minutes) and your new password. You are signed in as soon as it is saved. If the code does not arrive, check your spam folder; at most three codes can be sent per day to the same address. An account created with Google has no password at first: use “Continue with Google”, or set one in Account.
I did not receive the verification code
Check your spam folder, then use “Resend the code” under the field. The code stays valid for 15 minutes and allows five attempts.
A guest says they did not receive their confirmation
Check the email address on their guest record: a typo is the most common cause. Ask them to check their spam folder.
The booking page no longer offers any time slot
The possible causes, in the order to check them:
- the trial has ended or the subscription is no longer active (the page is then closed);
- a closure covers the date, or no service is set up that day;
- the time slot's quota or the service cap has been reached;
- dining room capacity is reached for the length of the meal (Settings › Bookings), or, in table mode, no free table is large enough for this party size: tables closed to online booking, blocked or not combinable do not count;
- online booking is blocked during service.
The invitation link does not work
A link can only be used once and expires after 7 days. The owner can create a new one from the Team tab.
